Privacy Policy
Last updates 01 January 2026
1. Introduction
Creo Studio ("we," "us," or "our") is committed to protecting the privacy of the families we serve — especially the personal information of children. This Privacy Policy explains how we collect, use, store, and protect information provided through our Parent Portal and in connection with our after-school programs.
This policy complies with the California Consumer Privacy Act (CCPA), the Children's Online Privacy Protection Act (COPPA), and other applicable privacy laws.
2. Information We Collect
We collect the following categories of information:
Parent/Guardian information: Full name, home address, email address, and phone number(s)
Child information: Full name, date of birth, age, and grade level
Emergency contact information: Names, relationships, and phone numbers of emergency contacts
Health and medical information: Allergies, medical conditions, dietary restrictions, and any special needs relevant to safe participation
Payment information: Credit/debit card details or bank account information for billing purposes
Photos and videos: Images or recordings of your child taken during program activities
Scheduling data: Session bookings, attendance records, and program history
Communications: Records of email, phone, and text message communications with our staff
3. How We Use Your Information
We use the information collected for the following purposes:
Enrolling and managing your child's participation in our programs
Ensuring the health and safety of all enrolled students
Processing payments and managing billing
Communicating with you about scheduling, program updates, and emergencies
Maintaining required records for educational and safety compliance
Improving our programs and services
Sharing photos or videos for promotional purposes (with your consent)
4. Special Protections for Children's Information (COPPA)
Because we serve children under the age of 13, we comply with the Children's Online Privacy Protection Act (COPPA). We do not knowingly collect personal information directly from children. All information about children is collected from their parent or legal guardian. We do not use children's personal information for any marketing or commercial purpose beyond the delivery of our educational services.
5. How We Share Your Information
We do not sell your personal information or your child's personal information to third parties. We may share information only in the following limited circumstances:
Service providers: Trusted third parties who assist us in operating our portal, processing payments, or delivering communications (e.g., payment processors, scheduling software), bound by confidentiality agreements
Emergency situations: Medical providers or emergency services when necessary to protect your child's health or safety
Legal requirements: When required by law, court order, or governmental authority
Business transfers: In connection with a merger, acquisition, or sale of assets, with continued privacy protections
6. How We Protect Your Information
We implement administrative, technical, and physical security measures to protect your personal information from unauthorized access, disclosure, or destruction. Payment information is encrypted using industry-standard security protocols. Access to personal data is restricted to authorized staff members who require it to perform their duties.
While we take every reasonable precaution, no method of transmission or storage is 100% secure. In the event of a data breach affecting your information, we will notify you in accordance with California law.
7. Data Retention
We retain personal information for as long as necessary to provide our services, comply with legal obligations, resolve disputes, and enforce our agreements. Health and emergency information is retained for the duration of your child's enrollment and a reasonable period thereafter. Payment records are retained as required by financial regulations.
8. Your California Privacy Rights (CCPA)
As a California resident, you have the following rights regarding your personal information:
Right to Know: You may request details about the personal information we collect, use, and share
Right to Delete: You may request deletion of your personal information, subject to certain exceptions
Right to Correct: You may request correction of inaccurate personal information
Right to Opt-Out: We do not sell personal information, so no opt-out from sale is required
Right to Non-Discrimination: We will not discriminate against you for exercising your privacy rights
To exercise these rights, contact us. We will respond within 45 days as required by California law.
9. Photos & Videos
Photos and videos of children taken during program activities are used only with parental consent. They may be used for internal documentation, program improvement, and — with explicit consent — promotional materials such as our website and social media. You may withdraw consent for promotional use at any time without affecting your child's enrollment.
We do not share images or videos of children with third parties for advertising or commercial purposes.
10. Communications Preferences
By registering in our Parent Portal, you consent to receive communications by email, phone, and SMS/text. You may opt out of marketing communications at any time. Operational messages — such as scheduling changes, billing notices, and emergency alerts — are necessary for program participation and cannot be opted out of while enrolled.
To manage your communication preferences, contact us or update your settings in the Parent Portal.
11. Changes to This Privacy Policy
We may update this Privacy Policy periodically. We will notify you of material changes by email or through the Parent Portal. The updated policy will indicate the effective date. Continued use of our services after notification constitutes acceptance of the revised policy.
